Registration forms must be received by Monday, February 23 in order to confirm participation in the conference. A late fee of $50 will be applied to all registrations (including complimentary registrations) received after February 23. Fees must be received prior to the conference or paid to LSAC at the conference.
Participants should make their room reservations directly with the Royal Sonesta Hotel, New Orleans no later than February 23. Rooms can be reserved online at http://www.sonesta.com/RoyalNewOrleans/ (group code: LSAC) or by calling the Royal Sonesta at 504.586.0300. In making reservations by phone, you must identify your affiliation with LSAC so that two room nights and taxes can be charged to LSAC. The hotel will take your credit card information to guarantee the room. LSAC cannot cover hotel rooms booked after February 23. Please note that LSAC will only cover up to $179 plus taxes per night—any additional cost will be your responsibility.
Have you ever called to make a conference hotel reservation on or before a deadline, only to be told that there are no more rooms available? This is because groups like LSAC promise a hotel that its attendees will reserve a certain number of rooms, and all of these rooms have been booked. It is a common misconception that group rooms are available until the deadline, when, in reality, the group rooms are available until the deadline or until the block fills up—whichever comes first. The hotel has no obligation to offer additional room nights to LSAC, as it can sell the rooms at a much higher rate to business travelers or vacationers. Unfortunately, LSAC cannot make the block bigger than the expected attendance, because it is obligated to pay for every room night to which it has contractually agreed. So, book early and cancel rooms as soon as you know they won't be needed. You may be helping a colleague who could not get in the room block.
Senior IT professionals are required to arrange flights through LSAC. Once registration has been completed, detailed information on booking flights and complimentary ground transportation will be sent. All other participants should book with your own travel agent, as this is not a reimbursable expense.
Participants must make their own transportation arrangements to and from the hotel. For your reference, the hotel is 14 miles or approximately 30 minutes from the airport; cab fare is approximately $29 for one or two people each way. The Airport Shuttle New Orleans provides a shuttle service for $15 one way and $28 roundtrip. The shuttle may take 45 minutes to an hour to get to the hotel. Book your Airport Shuttle reservation at the discounted rate.
Casual attire is acceptable for all meeting and dining functions. The temperature in New Orleans in April averages in the mid-sixties, but you might need a light sweater in the session rooms because of the air-conditioning. Of course, don't forget to bring your favorite t-shirt to wear at Thursday's dinner!
Registration-fee refunds minus a $50 processing fee per registrant will be granted for requests received in writing or by e-mail prior to March 23, 2009. No refunds will be granted after March 23, and your hotel room night(s) at the Royal Sonesta will be charged to your credit card on file with the hotel. Late fees are not refundable. All refunds will be processed after the meeting. If LSAC has paid for your flight, and your airline ticket is nonrefundable, you or your law school will be required to reimburse LSAC for its cost; in most cases, these tickets can be applied towards travel within one year of the ticket issue date in the name of the ticket holder only.
